Introduction                                                                                  
We are pleased that you are going to be a College Work-study supervisor.  This manual is designed to serve as a guide and to answer some of the questions you may have.  It is not, however, all-inclusive.  Please call our office if you are unsure of any procedure, policy or regulation that may affect you and/or your work-study student.  

What is College Work Study?                                              

College work-study is a federally funded needs based student employment program.  The program is designed to stimulate and promote the part time employment of students who need extra earnings from employment to help meet their cost of attendance while at Midlands Technical College.

Eligible students may work on or off campus.  In either event, they are considered employees of Midlands Technical College and must follow the regulations, policies and procedures established by Midlands Technical College and the federal government.  These workers are students first and cannot displace or replace regular employees of the College.

Supervisor Responsibilities                                                         

  • You must attend an orientation session once a year.

  • You must agree to adhere to the policies, procedures and regulations of Midlands Technical College and the Federal Government in relation to FWS.

  • All off campus employers are required to sign a College Work Study agreement.

  • Provide the student with the orientation and training necessary to perform assigned duties.  Work-study students should not be required, for any reason, to perform personal errands for faculty/staff or operate personal vehicles of faculty/staff.

  • Counseling students if their work is unsatisfactory and give them reasonable time to improve.

  • Not allowing student to work before he has a completed Referral form.  Students allowed to work before the completed form is returned to the Federal Work Study Office will be paid 100% from your departmental budget.

  • Certifying and submitting time sheet and daily log form in a timely manner.

  • Complete an employee evaluation form.
     

How do I Request a Federal Work Study Student?                           
To request a work-study, access Midlands Technical College's Home Page and click on "Employment Services".  Follow the prompts for both requesting a student and submitting a job description.

Payroll Procedures                                                                                 
Student should be required to sign in and out for each scheduled shift. The supervisor should verify the log sheet each day to ensure that time has been properly logged. Students may not work six hours a day. It is a federal offense for a student or an employer to falsify any information on a student's timesheet. Please complete the Supervisor Use Only box, located in the top right corner of the timesheet. If this box is incomplete, the timesheet will be returned to you.

Supervisors will be provided with a payroll schedule for the year. Timesheets delivered late may result in late pay for your student hire. Habitual lateness may affect future placement of work-study students for your department or agency. All copies of the time sheet must be submitted to the Federal Work Study Coordinator by the scheduled due date. Supervisor copies will be returned to you.
